Organizational Description

Watersheds United Vermont (WUV) is a nonprofit state-wide network of watershed groups dedicated to the health of their home watersheds. WUV’s mission is to empower community-based watershed groups in all parts of the state to protect and restore Vermont’s waters. 

Watershed groups are community-based organizations working with individuals and communities in their local watersheds to protect and improve water quality, habitat, and flood resilience and to build social and ecological connections with Vermont’s waters. Watershed groups work with all watershed constituents and do not represent a specific constituency or interest group. Some groups focus on a particular aspect of watershed restoration, while others engage in a full suite of watershed restoration and protection activities.

Position Overview

WUV is seeking a full-time Grants Coordinator to play a key role in supporting watershed restoration efforts across the state. As part of its work, WUV administers multiple block grant programs — largely through funding from Vermont’s Department of Environmental Conservation — that support watershed groups and partner organizations with the development, design and implementation of restoration projects statewide as well as education and outreach and capacity building efforts. WUV will subgrant approximately $4 million in grant funding in the next year. 

The Grants Coordinator will be at the core of this work, supporting the administrative and financial management of these grant programs while also contributing to communications that support the work and help tell the story of their impact. This role offers a mix of grants administration, coordination, and collaboration, and is an exciting opportunity for someone who enjoys keeping complex efforts organized while supporting meaningful, mission-driven work. 

As a small and collaborative organization, WUV values flexibility and teamwork, and the Grants Coordinator will assist with other organizational needs as they arise. The position works closely with the Director and Grants Manager to ensure successful grantmaking, reporting, tracking, and communication.

Responsibilities

The Grants Coordinator will be responsible for the successful management and tracking of WUV’s subgrant programs as well as supporting WUV’s general operations. This position collaborates closely with WUV’s Grants Manager, who is the primary contact for our subgrantees and leads the development of grant applications and processes. The Grants Coordinator is responsible for leading project and financial tracking and will assist in all aspects of grant management work, including developing grant agreements and supporting documents, communication with subgrantees around grant invoicing, tracking and deliverables, and communicating with project funders around reporting and requirements. The Grants Coordinator will also lead WUV’s communications around both grants and other programmatic goals.

Grants Administration (~75%): Ensure that grant programs are administered effectively to support the needs of WUV, our subgrantees, and our funders, including:

  • Creating and maintaining grant file and tracking systems
  • Providing financial oversight for all subgrants
  • Reviewing, processing, and recording all subgrantee invoices in Quickbooks and tracking spreadsheets
  • Creating and submitting all invoices to funders and tracking overall grant spending
  • Communicating with subgrantees around deadlines, deliverables and invoicing
  • Preparing and tracking subgrant agreements and documents
  • Assisting Grants Manager with review and approval of grant deliverables
  • Working with the Director and Grants Manager to develop and strengthen Standard Operating Procedures and program effectiveness
  • Directly managing one or more grant programs
  • Identifying the need for and implementing new systems and documents, such as assessing and potentially implementing new grants management tools

Grants and Program Communication (~20%): Support WUV’s effective communication about grant programs and other WUV and watershed group work.

  • Developing well formatted grant applications and subgrant agreement documents
  • Ensuring the website is updated with accurate and clear information
  • Compiling regular updates on current grants, events, and other news
  • Creating and / or editing reports and deliverables for funders 

Organizational Support (~5%): Contribute to the effective operation of WUV, including:

  • Assisting with WUV hosted meetings
  • Participating in grant program development and RFPs
  • Developing new communication tools and materials
  • Researching and implementing new grants management system
  • Assisting with other tasks to support WUV’s strategies depending on need and interest

Qualifications 

Qualifications and Experience:

  • 2+ years of experience with grants, project, or financial management in a nonprofit or government setting
  • Bachelor’s degree or equivalent
  • Familiarity with nonprofit or government accounting practices - QuickBooks is a plus.
  • Strong organizational skills, particularly in document tracking
  • Ability to utilize and set up new and existing technology to meet organizational needs, including a high proficiency in Microsoft Office, Google Workspace, and/or grant administration software
  • Interest and general knowledge of natural resources conservation and/or watershed protection/restoration

  • Ability to set up new systems and procedures
  • Ability to maintain positive working relationships through clear, responsive communication.

Key Relationships

The Grants Coordinator will report to the WUV Director. The Grants Coordinator will work closely with both WUV’s Director and the part-time Grants Manager. The Grants Coordinator will also interact regularly with watershed groups and partners.

Position Specifics

The Grants Coordinator will be an employee of Watersheds United Vermont. The Grants Coordinator is a full-time salaried position. The salary range for this position is $58,000-$62,000 per year, based on experience. Benefits include vacation, sick and holiday leave, as well as an employer stipend towards both health insurance and retirement. The Grants Coordinator will work remotely from a home office. There will be occasional travel for meetings. The Grants Coordinator must be based in Vermont.
